There are several ways to utilize your SharePoint tenant for storing document attachments from Microsoft Dynamics 365 CRM:

  1. Moving File Attachments in Notes in Dynamics 365: One of the primary ways users attach files in Dynamics 365 for Sales is by creating notes. You can set up a Power Automate flow that monitors the creation of notes with attachments. The flow can be configured to automatically move the attached file from the note to a designated SharePoint folder. After the attachment is successfully transferred, the original note can be cleaned, removing the attachment to free up space.

  2. Use the File/Document Tab and Tie the Attachment Back to a Note in Dynamics 365 for Sales: In Dynamics 365 for Sales, the File/Document Tab is a robust feature designed to enhance document management. The documents you create are automatically saved in SharePoint. You might want to add a note in the timeline to make sure everyone knows your document is available when they need it.

  3. Enable SharePoint Document Management for Specific Entities: You can store the documents related to entity records in SharePoint and quickly access, share, and manage these documents from customer engagement apps. You may want to set up server-based SharePoint integration before enabling document management for specific entities.

  4. Attachments & Documents Management for Optimized Storage in Dynamics 365 CRM: Attach2Dynamics seamlessly integrates Dynamics 365 CRM and Dataverse with Multiple Cloud Storage, improving attachment and document handling. This File and Storage Management App conserves storage space and reduces IT costs in CRM when integrated with SharePoint.

  5. Dynamics 365 CRM Azure Storage Containers: You can create two global containers named emailsattachmentcontainer and notesattachmentcontainer where email attachments and note attachments will be stored, respectively.

Remember, by moving attachments to SharePoint, you conserve server space, ensuring your Dynamics 365 environment remains optimized and responsive.

SharePoint’s structured storage allows for easy search and retrieval of files, streamlining access for all team members.
